Why we ask for data

Information gathered for a reason.

A publishing and online retail business needs some information to deliver products and respond to people. This includes details used for customer accounts, payments, orders, parcel fulfilment, security, enquiries and the administration of lawful business activities.

This document covers euroanime.uk and services that direct users to this notice. Our headquarters are in Downpatrick, Northern Ireland, United Kingdom, while orders for physical goods may be dispatched by partners operating in France, Spain or Portugal.

Our approach is to explain the reason for collecting data, use relevant providers, adopt proportionate safeguards and give people a route to exercise their rights. Nothing here overrides stronger or additional rights conferred by law in particular circumstances.

01Who this notice covers and who is responsible

This notice applies when someone visits euroanime.uk, opens an account, makes a purchase, writes to Euroanime, requests assistance or otherwise interacts with our digital services.

02Euroanime and its services

Headquartered in Northern Ireland, Euroanime works in Japanese anime and manga publication, licensing and distribution to customers across markets.

The services involved can include selling physical media, managing the catalogue and rights, communicating with customers, handling accounts and payments, organising orders and arranging delivery.

Different requests call for different details. An online purchase requires a delivery address; a business licensing discussion may require contact details and information about an organisation or representative.

03Data-protection legislation

Euroanime operates from Northern Ireland, United Kingdom. Where applicable, our handling of personal data is governed by the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, including relevant amendments.

The Privacy and Electronic Communications Regulations (PECR) can apply to certain communications and online technologies such as cookies. Processing covered by the EU GDPR or another mandatory jurisdictional law will also be subject to that law’s relevant rules.

This document does not seek to remove or narrow protections granted to individuals by mandatory data-protection legislation.

04Types of data involved

The categories of data depend on how you use Euroanime. They can include the following:

  • Identity and contact information, including name, email address, telephone number and billing or delivery address.
  • Account information, including account identifiers, account preferences and order history.
  • Order information, including products ordered, order value, shipping method, delivery status, returns, replacements and support history.
  • Transaction information, including payment status, transaction references and limited information supplied by payment providers.
  • Communications, including customer-support messages, title requests, licensing inquiries, rights-holder communications and other information you choose to send us.
  • Professional or business information where you contact us regarding licensing, publishing, distribution, wholesale, press or another commercial relationship.
  • Technical information, such as IP address, browser type, device information, timestamps, referral information, security logs and similar operational data.
  • Cookie, preference and analytics information where cookies or comparable technologies are used.
05Where the information comes from

Much of the information we receive is provided by you directly when purchasing, registering, requesting support, suggesting a title or corresponding with us on commercial matters.

We can also receive information needed to complete an interaction from payment services, security systems, delivery providers or other partners. Examples include confirmation of a transaction, fraud signals and parcel status.

Using the website can generate technical records automatically, including server access information, sessions and cookie-related data when those technologies are used.

06Our reasons for processing

Euroanime handles data in connection with particular operational needs. Depending on the interaction, those needs can include:

  • creating and maintaining customer accounts;
  • processing purchases and confirming transactions;
  • preparing, packing and shipping physical orders;
  • providing tracking, delivery and customer support;
  • handling returns, replacements, refunds, disputes or chargebacks;
  • answering title requests, licensing, publishing, rights-holder, press or business inquiries;
  • preventing fraud, abuse, unauthorized access and security incidents;
  • maintaining accounting, tax, transaction and business records;
  • operating, troubleshooting and improving the Site and checkout experience;
  • sending marketing communications where you have chosen to receive them or where otherwise lawfully permitted; and
  • responding to valid legal, regulatory or rights-holder requests.
07The legal grounds for processing

When the law requires a lawful basis for a particular use of information, that basis is identified by the purpose and may include:

  • Contract or steps requested before a contract — for example, processing an order, delivering a product, maintaining an account or responding to a transaction-related request.
  • Legal obligations — for example, accounting, tax, record-keeping or mandatory disclosures.
  • Legitimate interests — for example, securing the Site, preventing fraud, maintaining business operations, protecting legal rights and providing appropriate customer support, where those interests are not overridden by applicable privacy rights.
  • Consent — where required for optional marketing, certain cookies or another specific processing activity.

If you gave consent for an activity, applicable law may allow you to withdraw it for future use. Processing completed lawfully before withdrawal is not made unlawful by that later decision.

08Customer accounts and purchases

Account registration and shopping require details sufficient to identify the customer, process a sale, take payment, prepare delivery, provide relevant updates and respond to subsequent requests.

A transaction record can contain what was ordered, charges, billing and postal details, payment confirmation, dispatch and tracking information, messages and any associated after-sales activity.

Keep your login details private. If you suspect that someone else has obtained access to your Euroanime account, get in touch with us without delay.

09How payment information is handled

Payment processing can be provided by separate card processors or digital-wallet operators. The choices displayed during checkout may include bank cards, Apple Pay, Google Pay or other methods that are available for the order.

Complete card details are generally entered into the payment provider’s systems rather than retained as normal shop records by Euroanime. We may instead receive a status, transaction identifier, limited payment-method details or related anti-fraud information.

External payment organisations may determine their own processing activities and describe them in separate privacy information. Those independent responsibilities are not replaced by this notice.

10Preparing and delivering parcels

Euroanime’s headquarters are in Northern Ireland, United Kingdom. The physical goods you purchase may be handed to delivery networks through facilities in France, Spain or Portugal.

For delivery, a fulfilment centre, courier or postal service may receive only the details reasonably needed to identify the parcel and recipient: a name, address, contact information, shipment reference and any relevant instructions.

Dispatch partners are expected to receive information needed for the task they carry out rather than unrelated content from the customer’s record.

11Website cookies and device records

Cookies or comparable technologies can support shopping baskets, sign-in sessions, preferences, security checks, service operation, site measurement and analysis of how visitors interact with Euroanime.

Certain technologies are integral to shopping and payment services. Others, such as some measurement or promotional tools, depend on the applicable consent and choice requirements.

Where our cookie controls are available, use them to manage optional settings; browser controls may provide further choices. Disabling essential technologies can interfere with account access or purchasing.

12Promotional communications

Where authorised, we may contact people with news of editions, forthcoming titles and other Euroanime announcements. These messages are sent according to the choices and legal conditions that apply.

You may use the unsubscribe link provided in a marketing message, or email contact@euroanime.uk to request that direct marketing cease.

Messages that are necessary for an account, purchase, delivery, security event or response to an enquiry may still be issued because they serve a different purpose from promotional marketing.

13Organisations with whom information may be shared

We do not offer our customer records for sale. Some data may be disclosed to organisations assisting us with lawful operations or transactions. Possible recipients include:

  • payment and fraud-prevention providers;
  • hosting, infrastructure, security and technical-service providers;
  • email, communications and customer-support providers;
  • manufacturing, packing, fulfillment and logistics providers;
  • postal operators and couriers;
  • analytics or advertising providers where enabled and lawfully used;
  • accounting, tax, legal and other professional advisers;
  • licensing, publishing or business partners when required for a professional inquiry or transaction; and
  • public authorities, courts or other parties where disclosure is required by applicable law or valid legal process.

What a recipient obtains should be limited to information appropriate for its responsibilities and the reason for the disclosure.

14Handling information across borders

Because customers and service partners are located in different countries, information connected with Euroanime can be handled across national borders.

Our management is located in Northern Ireland; parcel operations may involve France, Spain or Portugal. Technology, payments, customer communications, security and delivery services may involve providers based elsewhere.

If a transfer to another jurisdiction needs safeguards under applicable data-protection law, we rely on the transfer mechanism or another lawful route required for the circumstances.

15How long records are kept

We do not keep every category of data for the same period. Retention is determined by the original business purpose and any accounting, tax, legal, safety, fraud-prevention, dispute or evidential obligations.

Financial and order records, for instance, may need to remain available longer than a routine assistance request; an email address used for marketing may be retained until a valid unsubscribe or the end of the purpose.

When an item of information is no longer necessary, our intention is to erase it, anonymise it or otherwise remove it from active use where appropriate and lawful.

A request to erase information does not override a valid requirement to retain it for a transaction, an investigation, compliance, an unresolved dispute or another lawful ground.

16Protecting information

Euroanime uses technical and administrative safeguards selected to reduce risks of unauthorised access, alteration, loss, misuse or inappropriate disclosure.

Those protections can include access management, encrypted connections, login safeguards, system monitoring, ongoing maintenance and checks on relevant service partners.

No digital operation can promise complete security. Where an incident involving personal data is identified, we will assess the situation and follow any legal obligations to take action or notify those concerned.

Please notify contact@euroanime.uk if you believe that personal information or an account has been exposed or used without permission.

17Your data-protection rights

Your location and the law applicable to the activity determine which rights you may exercise. These may include:

  • requesting access to personal information concerning you;
  • requesting correction of inaccurate or incomplete information;
  • requesting deletion where the applicable requirements are met;
  • requesting restriction of processing in circumstances provided by law;
  • objecting to certain processing, including direct marketing;
  • requesting data portability where that right applies;
  • withdrawing consent for future processing where processing is based on consent; and
  • lodging a complaint with the competent data-protection authority.

To make a request, email contact@euroanime.uk. We may need proportionate evidence of identity so that information is not disclosed or changed for someone who is not authorised.

The exercise of these rights remains subject to the requirements, limitations and exemptions of the relevant law.

18Data requiring additional care

Shopping for ordinary products or reading the Euroanime website does not generally require special-category or similarly sensitive personal data.

If a specific situation makes sensitive processing necessary, it must meet the legal conditions and additional safeguards required for that category.

Avoid including sensitive details in a standard support message unless they are genuinely required to resolve the matter.

19Information relating to children

Our online shop is designed for customers entitled to use purchasing services under the law applicable to them. We do not intentionally seek information from children who are unable to provide it lawfully on their own.

Parents or guardians who think a child has supplied data inappropriately should contact us, allowing the circumstances to be reviewed and any necessary steps taken.

20External services and sites

Euroanime may connect to external services or websites operated by payment companies, carriers, hosting providers, analytics platforms, social networks or other businesses.

A third party may be independently responsible for its own database and data handling. Linking to its service, or integrating a feature, does not place all its unrelated processing under Euroanime’s control.

Read the privacy information of a third-party service when interacting with that provider directly.

21Revisions to this notice

Our practices and providers may change, as may the requirements of law. We may therefore revise this notice when necessary.

A new version will appear here with its updated revision date. We will give any further notice or obtain any additional consent required by the legal rules that apply to the change.
